Common mistakes I still see on purchase orders
Most equipment buying mistakes don't come from picking the wrong brand. They come from skipping the checklist.
I've managed procurement for a mixed-service shop—light automotive, some ag equipment, a detailing bay—for the past six years. I've tracked every invoice, audited our annual spend, and negotiated with more vendors than I can count. Our equipment and supplies budget runs roughly $180,000 a year.
Here's the checklist I use. Six steps. You can run it on almost any piece of shop equipment—a NOCO auto charger, a John Deere tractor code reader, a PA foam cannon for the detailing bay. The product changes. The process doesn't.
Step 1: Define the job before you define the product
The biggest mistake I see on purchase orders: someone orders "a battery charger" without writing down what it actually has to do.
Different jobs require different chargers. A NOCO GENIUS 1 that keeps a stored battery topped up over the winter is not the same tool as a NOCO Boost GB70 that jump-starts a diesel pickup on a cold morning. Both are NOCO. Both get called "chargers" or even "battery tenders" by the crew. They are not interchangeable.
Before you open a single spec sheet, answer these:
- What vehicles or equipment will this work on? Write down makes, models, and battery types.
- How often will it get used? Daily, weekly, or just seasonal?
- Who is going to use it—an experienced tech or a new hire?
- What happens if it fails at the worst moment?
That last question is the one most people skip. If your only jump starter dies on a jobsite, what does that cost you? It's not the replacement cost of the tool. It's the cost of the tool not working when you need it.
Step 2: Calculate total cost of ownership, not sticker price
This is where I've saved the most money. It's also the step I ignored until it burned me.
Everyone told me to compare lifetime cost instead of unit price. I didn't listen until I approved a batch of "budget" chargers because they were $40 per unit cheaper than the NOCO units we had been using. What I did not factor in: the failure rate, the return shipping, and the admin time.
By the end of the year, we had replaced two units, returned one, and lost more money to technician labor than the unit-price difference ever saved us. A guy stood there with a multimeter for an hour, trying to figure out why a "fully charged" battery wouldn't hold voltage. That labor never shows up on the purchase order. It just bleeds out of the P&L.
The formula I use now:
Total cost = unit price + replacement cost over expected life + downtime + training time.
Sometimes the cheaper option wins. It genuinely does. But you don't know until you run the numbers.
Step 3: Match the specs to your actual fleet
This is where reading the spec sheet carefully saves real money.
For battery chargers, three numbers matter:
- Amp rating. A 2-amp maintainer keeps a battery alive. It doesn't rescue a dead one. If you need speed, you need higher amperage.
- Chemistry support. Lead-acid, AGM, and lithium charge differently. If your fleet has mixed battery types, the charger needs to handle that mix. NOCO's GENIUS line supports multiple chemistries in a single unit, which is why we've standardized on it.
- Voltage. 6V, 12V, and 24V are not interchangeable.
For jump starters—the products people often generically call "battery tenders"—look at peak amperage. A NOCO Boost GB40 handles most 4-cylinder and small V6 gas engines. The GB70 or GBX75 steps up for diesel trucks and larger equipment.
It's tempting to think a jump starter is a jump starter. But a 6.6L diesel needs roughly double the cranking amperage of a compact car. Over-buying wastes money. Under-buying strands a tech.
When you evaluate jump starters, check for safety certifications too. UL 2743 is the Underwriters Laboratories standard for portable power packs. It's a meaningful baseline for products that carry enough energy to start a heavy truck.
The same logic applies to diagnostics. If you're shopping for the best off highway diagnostic tool, the most important spec is protocol support. Modern off-highway equipment uses CAN bus communication, typically SAE J1939. If the tool doesn't support J1939, the screen size does not matter.
Step 4: Read the fine print on software, updates, and support
This is the trap with diagnostic tools specifically.
A John Deere tractor code reader is only as good as its software updates. Tractor ECUs change. If the reader's software is a year behind, you'll see "no communication" errors all day.
When you compare options, ask:
- How often are updates released?
- Are updates free, paid per year, or one-time?
- Does the manufacturer actually respond when a codes issue comes up?
- Are replacement cables and adapters available, and at what price?
In Q2 2025, when we switched diagnostic vendors, I compared six options over three months. The upside of the cheapest option was $600 in first-year savings. The risk was being stuck without support in the middle of planting season. The expected value said "try it," but the downside felt too heavy for a tool we'd rely on daily. We went with the pricier unit. Eight months later, that vendor released a major firmware update for the protocol we use most. No regrets.
Step 5: Test usability before you buy in bulk
This is a mistake I've made more than once: buying equipment with excellent specs, only to watch the techs avoid it.
We once purchased a diagnostic tool that covered every protocol we could find. The techs still reached for other tools because this one was slow and clunky. Now I buy one unit first, pass it around the shop for a week, and see how long it takes people to get comfortable.
Same with chargers. A NOCO charger is straightforward: plug in, select the mode, walk away. A maintainer that requires a complicated setup ritual won't get used on a busy Friday. That's a soft cost, but it's still a cost.
Step 6: Don't ignore the small items that make the big ones work
This step sounds like common sense and gets skipped constantly.
Example: the detailing bay. If you're adding a PA foam cannon to your detailing setup, the cannon body might cost $40–80. The pressure washer behind it is $300–800. But the fitting that connects them is about $10—and if you get the wrong thread size, you've got equipment that cannot work. The quality of the foam cannon matters, but not if it can't attach to your washer.
Battery equipment has the same issue. A charger with the wrong clamp type, or missing the cable extension that reaches the battery in a lifted truck, creates a delay. Delays are costs. When you build the purchase order, list the small accessories next to the main item.
Common mistakes I still see on purchase orders
After six years of tracking this, the same errors keep showing up:
- Buying maximum power "just in case." A 12V passenger fleet doesn't need the biggest NOCO jump starter available. Right-sizing beats over-building.
- Assuming "battery tender" means one thing. The term gets used as a brand, a category, and a generic label for maintainers. Ask what the charger has to do before you choose one.
- Skipping the firmware check on diagnostic tools. The best off highway diagnostic tool with stale software is an expensive paperweight.
- Ignoring the usability test. If a tool is annoying to use, it won't get used. That's waste regardless of the price.
- Forgetting the 20-minute "quick look." Every time a tech fights a tool, you're burning labor that never appears on the invoice.
Buying shop equipment doesn't have to be painful. Define the job. Run the TCO. Check the specs. Verify support. Test usability. Don't forget the fittings. Then sign the PO.
